Job Opportunity: Special Assistant to the President’s Office

ExpandED Schools is dedicated to closing the learning gap by increasing access to enriched education experiences.   • EXPAND the school day: Adding 2.5 hours each day; closing the learning gap by 450 hours/school year.
  • ENGAGE the community: Bringing additional role models – tutors, coaches, and teaching artists – into the classroom.
  • ENHANCE the learning: Balancing the curriculum with arts, sports, STEM and character-building enrichments.


Position Summary:

Reporting to the Senior Vice President, the Assistant will work closely with the President and Senior Vice President and play a key role in managing the day-to-day operations of a 50-person office dedicated to educational equity. The ideal candidate is exceedingly organized, motivated, detail-oriented, and unflappable. The Assistant will work independently and within a team on short and long-term projects that advance the organization’s impact, infrastructure and culture. He or she will gain tremendous exposure to the inner workings of a high-functioning non-profit advancing education for New York’s most vulnerable children.


Key Responsibilities:

  • Serve as the President and Senior Vice President’s overall administrative support
  • Provide support to the Senior Vice President and senior management team in coordinating and executing special administrative and executive projects
  • Communicate with agency stakeholders, including the Board of Directors and their assistants, government and private funders, leaders of community-based organizations and city agencies, and the ExpandED Schools senior management team
  • Increase the President’s and Senior Vice President’s productivity by managing complex calendars, scheduling internal and external meetings, preparing meeting materials, taking notes, answering and screening calls, maintaining and updating the President’s contacts, making travel arrangements, and organizing vital organizational documents, as directed
  • Coordinate logistics for quarterly meetings of the Board of Directors, work closely with the Senior Vice President to produce and organize meeting materials, record minutes, and support the President and Senior Vice President with required tasks throughout the meeting
  • Coordinate the collection of signatures on documents requiring executive authorization
  • Assist the Development Department with ongoing projects and special events, including the coordination of school visits
  • Work with the Finance Department helping to manage vendor contracting portals, as necessary, and prepare contracting documents on behalf of the President’s Office
  • Other assignments, as needed, to keep the organization nimble and effective

 

Qualifications:

  • Bachelor’s degree or related experience, and some administrative experience preferably in a non-profit setting
  • A proactive, positive, ‘can-do’ attitude with consistent professionalism, discretion, and independent judgment while demonstrating diplomacy, initiative and resourcefulness
  • Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects in a fast-paced environment and ability to filter information quickly and accurately
  • Excellent communication skills, both written and oral
  • Exceptional self-motivated organizational, time-management, and project management skills with great attention to detail
  • Strong cultural competence with respect for and knowledge of the cultures of the various stakeholders we work with and the communities we serve
  • Advanced skills in Microsoft Outlook. Proficiency in Excel, Word, PowerPoint, and Adobe Acrobat 9 Pro, and operation of standard office equipment, such as copiers and printers
  • Flexibility, adaptability and comfort with complexity and change
